Responsibilities
Position Summary
The Onboarding Coordinator will have a significant impact on a new team members’ onboarding experience. This includes directing new team members through the pre-employment process and ensuring all compliance guidelines are met. The Onboarding Coordinator organizes and communicates details to all stakeholders and is directly contributing to the candidate onboarding experience.
Job Responsibilities
- Connect with new hires after their accepted offer to confirm pre-employment activities have been initiated and follow up on pre-employment activities, background, and drug screening
- Attend weekly onboarding and compliance Update calls with Security and Compliance to confirm movement and address any delays in processing for upcoming new hires
- Attend weekly recruiting calls to discuss upcoming hires and provide updates to the recruiting team on new hire onboarding movement
- Follow up with recruiters to update start dates if needed due to delay in background and drug screening clearance
- Regularly review ATS for movement and updates, adding any necessary notes that pertain to the new hire PES process
- Administer communication to new hires through ATS
- Responsible for timely and accurate communication to all key providers and stakeholders involved in Recruiting and New Hire Onboarding, expediting information changes and ensuring buy-in on program adjustments from all parties
- Maintain knowledge of and compliance with company policies and procedures as well as with all applicable external regulations for the role you are assigned to support
- Schedule travel and accommodations for general interviews, pre-hire training classes, and new hire classes
- Provide rental car booking details if needed
- Send Travel Request form to candidates and new hires
- Contact candidates and new hires via phone and text if unresponsive to Travel Request Form
- Respond to travel inquires in a professional and timely manner, providing information and assistance to applicants/new hires and leadership as needed
- Understanding of airport codes and ensures correct codes are selected when booking travel
- Coordinates and verifies lodging information for new hire travel
- Support Recruiting team by participating in projects assigned as needed
- Accountable for timely and accurate communication to all key providers and stakeholders involved in Recruiting, Security & Compliance, and New Hire Onboarding, expediting information changes to all parties
- Foster a safe and positive work environment through diligence, teamwork, and a constructive attitude
- Cross train with the Sr. HRIS Coordinator to initiate onboarding process for new hires
- Process HRIS onboarding from ATS to HRIS and follow up with new hires through to completion
- Send Day 1 emails to new hire with details on Day 1 Onboarding
- Cross train with the Sr. HRIS Coordinator to assist with Day 1 connection with new hire and leader to complete I-9 verification and completion of Workday Onboarding tasks
- Cross train with the Sr. HRIS Coordinator to complete administration of I-9’s in E-verify and processing of I-9’s in New Hire Reporting
- Responsible for the Companys Security and Safety Management System (SMS) and associated Safety Risk Management and Safety Assurance outputs
- Performs other duties as assigned.
Position Specifics
Qualifications
Required
- High School Diploma or equivalent
- 2-3 years of administrative support in an Office, Human Resources or Recruiting environment with exposure to ATS and HRIS
- Proven experience in utilizing Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Demonstrates high attention to details
- Knowledge of applicant tracking system
- Ability to work in a team and independently to meet deadlines in an aggressive growth environment
- Ability to maintain confidentiality and a professional demeanor
- Ability to speak/read/write in English.
- If hired, must be able to demonstrate that you are authorized to work in the US.
Preferred
- 1-2 years of human resources or recruiting experience
- Working knowledge of booking travel and accommodations
- Experience supporting multiple personnel in a fast-paced environment
- Previous experience working with iCIMS
- Experience with Workday

Work Environment: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, telephones, photocopiers, facsimile machines and filing cabinets.
